The Annual Holiday House Tour, always held on the second Friday of December, is our major fundraiser. The proceeds benefit our scholarship fund, community projects, and other Club activities. All members are expected to participate in some way: as a hostess, designer or decorator, ticket seller, chair of a home, or all of the above. The intent of this web page is to provide information to our members about all aspects of the Tour.
Beginning the Process
The Holiday House Chairman is chosen by the Club's President. The Chairman recruits the Vice-Chair and other committee members. It is the responsibility of the Holiday House Committee to scout out homes for the tour, typically beginning in early Spring. Please remember that it is always helpful for members to help suggest possible homes for the tour. Homes are then chosen by the committee by July or August for their location, ease of entrance and exit, availability of parking and traffic safety, curb appeal, and variety of interest for the tour. Prior to the Club's first general meeting in September, a 'kick-off' party is held where members have a chance to view photos of the homes and sign up to work on a particular home. Members also have another chance to sign-up for the homes at the September and October general meetings.

HOLIDAY HOUSE GENERAL CHAIRMAN: Finds homes for the tour and is the main contact for the homeowners. Recruits House Chairmen and serves as an advisor when needed. Oversees Holiday House Tour budget. With the help of the Vice-chairman, takes photos of the homes and organizes kick-off party. Sends thank you cards to homeowners after the tour.

VICE-CHAIRMAN: Visits homes, is the 2nd contact with homeowners, works out parking issues for each house, purchases wrist bands. Helps organize kick-off party and makes posters with photos of the homes to be used at that event.

GRAPHIC DESIGNER: Receives “Themes” information from house chairs by mid-September. Creates two-sided Tri-fold brochure which is included with the wristband tickets. The Tri-fold includes: tour information, parking recommendations and photos of the outside of the homes.
PUBLICITY: Visits homes, obtains information from Homeowners during visit to the home for publicity, ascertains that photographs of the decorated homes are taken on the day before the tour. Arranges for pre-tour publicity.

FACEBOOK: Advertises Holiday House on Facebook.

HOSTESSES/HOSTS CHAIRMAN: Recruits and organizes hostesses/hosts and mails responsibility letter. Makes signup charts for kick-off party and subsequent general meetings.

PROPERTIES CHAIRMAN: Makes plans with House chairs to pickup and deliver flags, luminary supplies, and other items needed from NGC's storage unit.

TICKET SALESPEOPLE: Sell tickets at October and November general meetings. Process Paypal orders, which start October 1st on our website, as well as U.S. Mail orders.
PHOTOGRAPHERS: Take photos of designs made specifically for the Holiday House on the day before the tour.
SLIDESHOW CREATOR: Develops a slideshow or video of the photos taken by the club photographers to present to the members at the January general meeting.
CLUB TREASURER: Deposits money obtained from ticket sales. Cuts checks for House Chairmen (each Chairman should submit a ‘Cash Advance’ form for the amount budgeted for each home). Collects expense receipts with the ‘Reconciliation of Expenses’ form from house chairs in January to report expenses to the board in February.

Since Holiday House is our main fund raising event, its success depends on your commitment. Please try to schedule your appointments around your house meetings, workshops and decorating time frame.
​
Arrange a time with the homeowner in late August or early September to view the house with your committee members. Be sure to check with the homeowner about whether there are allergy issues in the family for plant selection. After viewing the house, begin to think of a theme and decorating ideas. The theme must be decided by the middle of September. The theme is included in the brochure and tickets go on sale October 1st. As soon as you have a theme, give it to the Holiday House Chairman, NAME or the Vice-Chair, NAME.

Have members of your team sign up to work in a room. Depending on the size of the rooms and the size of your committee, you can decide how many people will be working in each room. After room sign-up, members can then meet to decide what each will be doing in their respective room. Ask one person from each room to be a team leader to keep you abreast of their plans and any problems. Try to keep visits to the home before December to a minimum.

If you have a Co-chair, decide how the Chairs' duties will be shared and keep each other informed and included in all preparations so both are up-to-date.
​
It is important to be available to your house committee, the core committee and the homeowner. Make sure you have the homeowner’s email and phone number. To avoid miscommunications, check and re-check with committee members with requests you make of your committee.
​
Budget: Each home gets a budget of $1,350.00. Fill out the ‘Cash Advance’ form (available on our website in the Members only area) and submit to the club’s treasurer to obtain your budgeted amount. You are expected to remain within your budget. You may want to determine a budget for each room and assign a team leader. On the last day of decorating, each room’s team leader collects receipts from the members of their room and gives them to you for reimbursement. Or you may give the team leader for each room the money upfront. That way, they will stay within their budget and not have to wait for their money.

Be available to the homeowner about any issues, concerns or questions. Some homeowners want to be made aware of what the decorations will be for each room. You can give them an overview and let them know that ideas sometimes change as decorating evolves.
Workshops: When workshops are needed, all committee members are encouraged to attend. This will include outside decorations and some projects that could be taken home and worked on. Advise team members of the date and time of the workshop and any supplies or tools to bring. Ask your committee to keep an eye on their emails or texts in case you need to reach them quickly with news or changes.

Outside Decorations: You may have a committee to plan the outside decorations or have everyone contribute to the plan. If they are physically able, all committee members are expected to work on the outside, which is done the week before the tour. Planning the decorating requires keeping an eye on the weather.
​
Week of the Show: You will need to be at the home Monday through Thursday. You should be available to your committee members to keep things on schedule, answer questions, or solve problems. Aim for the decorating to be completed by noon on Thursday. The newspaper photographer with the Club Publicist (NAME) and club photographers (who need photos for the January photo presentation) will be taking pictures on Thursday beginning at noon. It is important that someone familiar with the decorations remain at the home to point out “stellar” designs to the photographers.

Hostesses: We assure the homeowners there will be a hostess in each room to describe the room and to keep their possessions safe. The House Chairman coordinates with the Host/Hostess Chairman to determine the number of hostesses needed per shift. Ask the homeowner for a room where hostesses can leave their belongings and a bathroom they may use. The hostess at the front door should have information about the house. This should be kept brief to minimize wait time at the front door. You can get this info from the Holiday House Chairman or the homeowner. See Hostess/Host instructions below for more information.

Luminaries: Delegate a small group to decorate and set out the Luminaries. These are set out on the morning of the Tour on the pathway to the home. Usually they are lit by the ending 2-4 pm shift and the oncoming 4-6 pm shift. Depending on the number of luminaries, a person or persons can be designated to light them so there will not be a last-minute problem.

Save a few Christmas Tree ornaments or a unique or special decoration for the “Show and Tell” at the January Meeting.
Additional House Chair Responsibilities:

Make sure you receive a bag (from the core committee) containing: pens, hostess list with name and phone number of hostesses, name tags, NGC Flag and stand to be placed in front of the house.

Provide a list of your committee for the 8”X 10” frame to be displayed during the tour. Place where it will attract attention.

Lending things to the homeowner is discouraged. If the homeowner doesn’t have a container suitable for your design, try the Dollar Store or a thrift store. If your things absolutely must be used, they cannot be picked up before January and the list of items must be given to the House Chair.

Ask all designers to list the flowers used in their arrangements or other interesting information on a 3” X 5” card to be placed near the design.
Parties/Lunches held by the Chairs and/or Co-chairs are not a requirement, a thank you note would be much appreciated.

Responsibilities of
House Committee Members
It is the responsibility of the members to provide support for the House Chair in the following ways:

- Attend the house visit.
- 'Brainstorm' to determine the theme for the house.
- Take the initiative to volunteer for specific tasks and let your chairperson know your areas of interest and what your strengths are.
- Obtain approval for purchases and keep all receipts. You are expected to remain within your budget.
- Perform the task(s) you have agreed to do and be prepared with the tools and/or supplies you'll need for those tasks. Talk to your chairperson to see what will already be supplied.
- Plan to help with the outside decorating if you are physically able.
- You may take photos for your personal use, but do NOT post them on social media prior to the tour. If you post after the tour, please be sure that the location of the home is not identified.
- Do your duty as a club member and hostess for at least one two-hour shift.​
- Enjoy creating a beautiful showcase while making new friends or spending time with existing friends!

Hostesses/Hosts
Duties
​Whether you have worked on a house for the tour or not, it is the DUTY of every able bodied Norristown Garden Club member to act as a Holiday House Host or Hostess for just 2 hours each year. You are the ambassadors of your club for the patrons of the tour as well as protectors of the belongings of the generous homeowners who allow us to showcase their homes. Please take pride in the talents and efforts of your fellow club members as well as the hospitality of the homeowners and be sure to do your shift!

Host/Hostess Responsibilities:
- Dress for an afternoon holiday event.​
​
- Arrive 10 minutes before the beginning of your shift.
​
- Ask the host/hostess at the door where to leave your coat and handbag. Check the hostess schedule for your room assignment. Please wear a host/ hostess badge during your shift.​​​​ Review the description cards of the room and the arrangements so you are able to present a short overview of the decorations and answer questions. If necessary, a chair can be provided.
​ - Maintain flow and avoid crowding in each area or room. Inform the host/hostess at the front door if there is a problem. He/She will control entry as necessary.
​
- Ask patrons to put their cell phones away to avoid secretive photography.
- Patrons are to 'Look with their eyes, not their hands'.
- The 4:00 - 6:00PM shift is responsible for lighting the luminaries and, therefore, should arrive early.
- At the end of the last shift, after all guests have left the house, you should help to collect:

Luminaries (first check to see if the homeowner wants to keep them for a few days if having a party).

The club's shepherd's hook and umbrella bags, if necessary.

- If you will be late, please notify the house chairman so the person you are replacing can be informed of your delay.
- If you cancel, you MUST find your own replacement.
- Remember: The public is NOT allowed to use the bathrooms and Photography is PROHIBITED.

- Front door host/hostess will be assigned by the House Chair and MUST be a NGC member. Duties of the front door host/hostess:
- Welcome the guests.
- Do NOT allow entry without a wristband ticket.
- To avoid crowding in any of the rooms, regulate the number of entrants allowed in a one time.
- Give a SHORT description of the house provided to you by the house chair before directing them to follow the general flow route through the house.
- Remind each group to put their cell phones away as there is no photography permitted.
Info to Homeowners
So that everyone knows what we promise to and expect of the homeowners, this is the information that is sent to them once they agree to have their home showcased on our tour:

GENERAL INFORMATION
Tickets: Two complimentary tickets to see the other 4 homes on the tour will be given to each homeowner. Additional tickets are available at a cost of $35.00 per ticket through our website, www.norristowngardenclub.org, or by sending a stamped, self- addressed envelope to NGC, P.O. Box 742, Spring House, PA 19477.
Hostesses: There will be a hostess in each decorated room of your home, as well as a garden club member at the front door to check tickets. We schedule two-hour shifts from 10:00 a.m. to 6:00 p.m., with the last shift ending at 8:00 p.m. If you would like, you may invite family or friends to hostess as well. Many homeowners have enjoyed hosting the last shift.
It is our custom to provide hostesses with interesting facts about the house (history, furnishings, family traditions, etc.) The hostesses will share that information with people as they tour your home. Please inform your chairperson of any special details you would like to have included.
Bathrooms: Patrons on the tour are not permitted to use the bathrooms, but if possible, hostesses should be allowed to use an out of the way bathroom, if needed. Also, please provide a place for the hostesses to place their belongings (coat and purse) during their shift.
DECORATIONS
Planning: The Chairperson(s) of your house committee will arrange a time with you in August or early September to have the committee walk through your home and discuss proposed decorating ideas so that all are comfortable with the plan. They will try to incorporate your favorite collections or special pieces in the theme. In addition, the house committee will probably need access to the house one or more times in the fall to plan their work.
Each house committee has been urged to stay within the allowed budget of $1,350.00. All decorations made by the Norristown Garden Club become the property of the homeowner, except the luminaries and any NGC outdoor planters we may provide, which will be collected by a club member at the convenience of both parties. The chairperson will discuss provisions for handicapped parking if necessary. There will be no advertising of any kind (business cards, etc.)
Even though the club discourages it, occasionally garden club members lend personal containers or decorative items to be used as part of the decorations. If this happens, the house chairperson will make you aware of these items and will plan for the return of them, at your convenience, sometime in January.
SCHEDULE
The committee will be decorating the outside of your home during the week of (the week prior to the week of the tour), so all garden cleanup should be completed by then. If you choose to decorate trees and shrubs outside the home, white mini-lights are requested. Sufficient outside lighting is required for safety reasons, but we request no icicle lights, please.
The inside decorations will be installed the week of the tour, beginning Monday of the week of the tour. We request that painting, interior decorating and cleaning be completed before that time. Homeowners and house chairs will arrange times for the committee to decorate, but please be aware that we will need at least 6 hours a day Monday through Wednesday. The decorations and the committee’s clean-up will be completed by Thursday at noon, when the photographers from the club and the press will come through the house. If possible, please do not use the decorated areas of the kitchen for meal preparation after the committee leaves on Thursday. All housekeeping the morning of the tour must be finished by 9:00 a.m.
HOMEOWNER’S RESPONSIBILITIES
Tree: The homeowners are responsible for the purchase of a live or cut Christmas tree. The tree needs to be securely set up and strung with white mini-lights ready for the committee to decorate on Monday of the week of the tour. Size, type and number of additional trees can be discussed with the house chairperson.
Access: We realize we are asking for a lot of time in your home at a busy time of year. If you have any problem with the decorating schedule outlined above, please let us know immediately so we can work around your schedule. If possible, we request a designated place for the committee to work and store our materials as we work, such as a garage or basement, as that would make the work go much more smoothly. We also will be bringing fresh greens and will need a designated area to store them outside.
If you have any questions as the work progresses, please talk to your chairperson. We want you to be happy with your holiday décor. The club members working in your home are a talented group and we feel sure you will be pleased with the results.
